Board Retreat Present: Secretary - Alyce Walden; Treasurer - Wanda Straub; Board
Members - Barbara Slough [C], Sue McKibben-MV, Opening: Treasurer, Wanda Straub, called the meeting to order. Cora Kettler led us in devotions on illnesses and obstacles with a reading He Listens to you too based on Isaiah 11:6 and reading from Chicken Soup for the Soul on many famous people who had overcome obstacles. Minutes: Treasurer's Report: The costs for the convention were met. We broke
even on the Kelly Fryer book. Open Discussion: Audit of Synodical Books: The church wide constitutional requirement that the books be audited by a CPA is felt to be an unnecessary and costly expense. A resolution was read at the convention that due to the high cost of the audit that audits be done by an accountant or a financial review committee. A second reading is required before it can be presented to Triennial. It was felt that the 2005 convention should be held prior to the Triennial in July of 2005 in order to meet this requirement. Convention Resolutions: Reminder that these should be read and not summarized. Mandated at convention that information on the sexuality issue be provided to synodical members. Motion: Marilyn Lee moved that Jeanne Matthews compile a list of resources on the issue of human sexuality for the Son Light. Jacquie Fritz seconded. The motion carried. Parliamentarian: This was an additional expense that might be avoided. Pastor Barkenquast may be willing to serve as parliamentarian at little to no cost. He has served as parliamentarian at past Synod conventions. Conference Budgets: Conferences pay own bills for Spring Assembly and Fall Retreats. Extra offerings should go through synodical treasurer. Special forms are available. Son Light Report: Articles for the next issue to be in to Cora Kettler by November 15. The conference secretaries can summarize reports and put emphasis on future dates. The current company doing the printing was used for the convention books. There was a problem with the page numbering and the cookbook. Costs of another printing company near Cora were compared with the current one and were found to be comparable. Savings would occur in time spent and costs of traveling out of town. Motion: Barbara Slough moved that the Son Light printing be changed to Bornhorst at Wapakoneta. Peggy Mink seconded. Motion approved. Son Light report continued: 577 subscribers to date. Board commended article by Kris Johnson on 'Pat's Hats. Reminder given to check out our synodical web site that Kris does. Lutheran World Relief: Some churches take items to Fort Wayne rather than New Rochester as it is closer. 1074 boxes were sent through New Rochester where Ruth Graf coordinates shipment. Jim Ward, the truck driver, has donated his time for the past 15 years. Bolts of material have been sent in place of school kits and soap has been sent in place of health kits. Marilyn Lee will try to get total count both for New Rochester and Fort Wayne and put in an article for the Son Light. It was mentioned that some churches have room to display quilts prior to sending. Regional6 Spiritual Gathering: Marilyn Lee reported that the date and times are July 30-31, 2004, from 9 a.m. Friday to 3 p.m. Saturday and will be Lima, Ohio. Our synodical is to provide hostesses, pagers, ushers, and With One Voice hymnals and are to decorate the stage and contact Thrivent and the Bishop. Stage decorations: Jacquie Fritz will check the dimensions of the stage and have the Lima area people help. Thrivent contact: Wanda Straub will check on obtaining folders, pencils and tablets. Bishop contact: Betty Chandler or Marilyn Lee will call to get date put on Bishop's calendar. With One Voice: Alice Davis and her church, Our Savior in Kenton, will bring 50 and Cora Kettler, St. Mark's, Wapakoneta, will bring 100. Usually there are 300 or more attending so more WOVs may be needed. The Spiritual Gathering leader for the two days will be Pastor Vicky Garber of Glory Dei Church in Kentucky. The theme is: Come to Jesus Now. There will be spiritual witness, Bible study, singing, banquet, entertainment and communion. Conferences may be doing skits to demonstrate their group activities such as we could do the Red Hat skit. Marilyn will check at the next meeting if the skits are still being planned and will notify Jacquie Fritz if needed. In-kind Gifts: An article in the Son Light will identify what in kind gifts will be requested. Suggested places for donations are Baby, Buddy and You or WlC. Those present felt gathering "freebies" was not necessary. Ukraine Story: Alice Davis would like to publicize and tell the story of what an organization SARA (Sharing American Resources Abroad) is doing. Marilyn Lee will put together an article for the Son Light. Church Wide Convention: Wanda Straub reported that a pact with 25 denominations to do global outreach was made. There is an update in The Lutheran. Church wide structure changes are being considered. There is a need to trim the budget. The Missouri Synod sent its president and he expressed concern on how the gay-lesbian issue will be handled by the ELCA. The board members were encouraged to attend the Biblical education sessions on the sexuality issue being held for the laity on Nov. I and 2. Registration is open until Oct. 27,2003. The book High Expectations by Wexler was mentioned. (???) Items for discussion Saturday: 1. The 2005 convention date and possible use of more humor and personal involvement. 2. Send a letter to Pastor Linda Rahe to see if willing to serve as pastoral advisor. Pastor Beitelschees has served for two years and has suggested Pastor Rahe as a replacement. 3. Contributions to the Aya School in Tanzania. Pat's Hats project is
completed. $1,044.88 was sent to the Dodoma Diocese through the Synod office.
The money was sent to purchase the hats in Tanzania. 4. Representatives for the nominating committee are still needed from the SW and T. Adjourned: 11 :05 p.m. Devotions on CD by Eva Whittington Self from Jeremiah 9:23-24.
