Board Retreat
October 25, 2003    9:30 a.m.
Jacquie Fritz Cottage, Coldwater Lake, Michigan

Present: Vice-President - Corrine Hurni; Secretary - Alyce Walden; Treasurer - Wanda Straub; Board Members - Barbara Slough [C], Sue McKibben-MY, Jeanne Matthews (NC), Marilyn Lee (SE), Jacquie Fritz (SW), Peggy Mink (T); Son Light Editor - Cora Kettler. Guest - Betty Kozak (T)

Absent: President - Betty Chandler, Nancy Chandler (E), Pastor Julie Beitelschees

Opening:
Vice-President, Corinne Hurni, called the meeting to order. Wanda Straub led us in devotions from Bishop Mark S. Harmon's book, Faithful Yet Changing. We need to be open to change. Lutherans have a history of reform yet not change for the sake of change. We believe in one Lord, one faith, one baptism. We need to be united for the sake of the world. Our discernment should be change for the sake of the Gospel. What does God want us to do? We need to identify our gifts/assets.

Bible Study:
Marilyn Lee used the study of Peter and Cornelius from church wide. The study was on Acts 10 and discussed barriers in our church. We should show no partiality and set goals.

Signatures: All signed names to be used in the Son Light as list of current board members.

OLD BUSINESS:

Conference Call: Scheduled for October 15, 2003, was missed as Betty Chandler was at Dodd Hall-OSU.
Corinne Hurni will notify Churchwide to send information to her until further notice.

Women of Faith: Do other women's programs such as Affairs of the Heart interfere with the Women of the ELCA programming? It was felt that these programs do compete.

Spiritual Gathering: Marilyn Lee reviewed the discussion of yesterday. Corinne Hurni will call the Bishop for Betty Chandler.

Cookbooks:  Approximately 40 are left. Encouraged to continue trying to sell them as for instance at the Spiritual Gathering.

Parliamentarian:  Review of yesterday. The cost was $250 and some things were missed. Some things missed were how to handle resolutions, sign in and roll call of delegates and voting members (officers and delegates), and use of Robert's Rules of Order. Would like to have Pastor Barkenquast serve as parliamentarian as he was most effective at the Synod Convention and would possibly be no charge.

In kind offerings at convention:  A final report on donations to Salem is needed (1??). We need to continue to support the South End ministry. It was suggested that craft materials in schools and Sunday schools that are no longer needed at the end of the school year be gathered and donated.

Academic Scholarship:  Alyce Walden will check with Linda Tooman, past secretary, regarding the sending of letters at the beginning of the year to Capital, Trinity, and Wittenberg for names of of students who meet criteria for scholarships. $600 is budgeted per school.

Lutheran World Relief:   Discussed in Friday meeting. See minutes.

Red Hat Women' Ministry:   Jacquie Fritz explained the program. There are four parts: Biblical Models (women of the Bible) led by Diane Kashmer and Paula Bressler, Leadership led by Mary Satterfield who covers being open to change and Chris Budke who covers mentoring, Special Gifts led by Bonnie Kirshner and Jan Maddy, and Plan of Action led by Jacquie Fritz and ???

At this point there has been no charge other than lunch. Donations may cover mileage or try to include in the Synodical budget.

Scheduling includes 1-2 hours for debut, all day (from 9-2:30 p.m.) or at retreats. To date debuts have been given at ???? and Stony Ridge and all day ones at Sandusky and Celina. A one day program is scheduled in March and another one next fall at a retreat.

The goal is to establish new units. No data on any new ones formed as yet although the programs have been well received. The red hats are to signify being bold in ministry and should not be confused with the feminine organization of Red Hats.

Paths of Wholeness:  Jeanne Matthews has presented several. The program is under the guidance of Faith Fretheim. Some participants have concerns with the term 'spirituality' but it should be remembered that this program is the next step from Embracing Self and Others and is a way to look at different worship styles. It goes well with the theme 'Listen, God is Calling.'
Encourage each conference or large churches (need at least 30 participants to work effectively although smaller groups have participated) to use this program. A brief program has been used for councils and boards.

The next one scheduled is Nov. 8, 2003, at Oak Openings for a Friday and Saturday presentation for the Toledo group. One day is appropriate and the charge is $25 per person attending. Jeanne will submit an article to the Son Light.

Son Light:   576 subscribers. Blurbs on what new things have been tried in retreats are encouraged.

Conference Reports:

Central: Barbara Slough reported that the Red Hat Ministry presentation was given at retreat. Pastor Mineo is an excellent musician and suggest to keep him in mind as a presenter for Convention.

Eastern: No report. Nancy Sander is at the Eastern Conference Retreat at Lakeside with the theme 'Celebrate Ohio.'

Maumee Valley: Sue McKibben reported that their retreat had the Red Hat Ministry. Spring Assembly will be April 17, 2004, at Zion in Defiance.

North Central: Jeanne Matthews reported there were 30 at the fall retreat at the Pines in Fremont. Conference training was held the first of October. A question was raised as to how the conferences budget for Spring Assembly and Fall Retreats. All but NCC are doing one day retreats, usually in churches to contain costs.

South Eastern: Marilyn Lee reported there were 81 at retreat. The theme was 'Stand Up For the Lord' and participants wore red hats to show their boldness. The pianist, Lois Grossman, would be excellent for convention. Spring Assembly is scheduled for April 24, 2004.

South Western: Jacquie Fritz reported their retreat is next Saturday, Nov. 1,2003. Spring Assembly is also April 24.

Toledo: Peggy Mink reported that retreat was held October 11, 2003.

Nominating Committee:  Two are needed: South Western - Jacquie Fritz will check next weekend and Toledo - our guest, Betty Kozak, volunteered.

Board Assignments:  Church wide has dropped the terms of the Mission areas (Action, Community, Growth). We only need to be sure that all projects and activities are covered.

Tanzanian Representative - Barbara Slough

Grants & Scholarship Representative - Sue McKibben. Sue is willing to do the scholarship letters that had previously been the responsibility of the secretary.

Agencies Representative - Peggy Mink. A write up of one will be in each issue of the Son Light. A short list of what is needed and can be collected would work best.

Lutheran World Relief - Marilyn Lee

L WT and Education Resources - Jeanne Matthews. An article on resources for studying Human sexuality will be in the next Son Light issue. Suggested that the link for the Augsburg bookstore be put on our Web page in order to obtain kick back.

Red Hat Women's Ministry Team - Jacquie Fritz

Miscellaneous - Nancy Sander. Suggestion was made to check out SER VV catalogs and the Heiffer project as possible areas for in kind offerings. ????

NEW BUSINESS:

2005 Convention:  It was suggested that a one day conference be held as this is the year of Triennial. Dates suggested were May 14 or 21. With a one day convention it was suggested that it be held at a church. St. Mark's in Bowling Green was suggested. Jeanne Matthews will check to see if this is possible.

The delegates (one per church unit) would meet for breakfast for delegate training. A break out session would be planned for visitors. Registration would be at 8:30 a.m.

Leadership training would be skipped this year. Spring Assemblies would be held as usual.

It was suggested that the only displays be SERVV and Heiffer.

The cost could be kept to $20 per registrant: $10 for registration and $10 for lunch. A sound Board will be needed. Coffee and donuts at registration and a simple sandwich, soup, veggies, and cookies could be served.

Next Board Meeting: January 24,2004. Jeanne Matthews will see if St. Mark's in Bowling Green is available. We

will start at 9:30 a.m. and bring brown bag lunches.

Adjourned: 2:20 p.m.

Respectfully submitted,

Alyce Walden, secretary
